Monthly Meeting
Sunday, November 17, 2024 in person at Xerocraft
Meeting called to order at 1:02pm
In attendance: Mike Runde, Dusty Reyes, Don Cue, Geoff Shafer, Lisa Grenier, Ben Winkler, Bob Foster Guest: David
- Approve meeting minutes from October 20 meeting– unanimous approval of Board meeting minutes and Executive Meeting minutes with same vote
- President’s Report by Dusty
- Due to holiday travels, the Board would like to move the Dec meeting 1 week earlier. Members present agree that the Dec Board meeting will now be set for December 8, 1pm.
- No report from KMKR. Station is still set to go dark on Dec. 31.
- Treasurer Report by Ben
- All accounts are holding steady. We should show a profit for the year. Classes and memberships are XC’s main income source.
- Most of our expenses and costs are also up (repairs, maint, etc)
- Ben presented a new Financial Plan for consideration which will require that we set up several new accounts for emergencies.
- Mike will ask about “business continuation insurance” from our insurance agent.
- Topic of raising membership rates and class fees tabled until next year.
- We need to contact the Credit Union to ask about taking Zelle as a payment option.
- Membership Report
- The question of wording for the “Family Plan” has been fixed by Don on the website. Fees are staying the same. New wording says family members must be related or part of a household. This will not allow “family members” to be substituted over time.
- Lisa is leaving the Board after the Dec meeting. Board thanks her for her service. She will stay on as Volunteer Coordinator.
- Secretary Report by Mike
- Mike has completed the Annual Report to Corp Commission, fee paid.
- The Benevity Charitable website needs updating. Dusty will handle this.
- Operations Report by Mike
- Swamp coolers have been winterized.
- Bit Buckets contract has been signed and a check received in mail. Will deposit at Credit Union next week.
- Lisa suggested that we set up some chains for crowd control during Repair Cafe to keep customers from wandering into Wood or Metal shops. Jeremy will start to work on this.
- Cost of the new lathe is running approx $600 over the approved amount of $2500. Motion by Ben, 2nd by Bob to have Xerocraft absorb this cost. Unanimous approval.
- Programming Report by Geoff
- New jewelry class, blacksmith class, and advanced lathe coming soon
- Bit Buckets members need to be named to get key fobs.
- All Souls workshop worked out well, they already paid $500.
- Bill at MetalCasting is still requesting additional $500 to make metal casting work. Tabled until next month.
- Motion by Geoff, 2nd by Dusty to make minimum class fee $15 for members, $25 for nonmembers. Instructor fees and class materials added to this to arrive at class fee for a ticket. Unanimous approval.
- End of year party set for Dec 21 for approx 30-35 members and guests in the courtyard, 3-5 pm. Food prices range from $300-$425. Dusty will send email to gauge interest. Tabled until Dec meeting.
- Public Relations Report
- Dusty, Amir, Camille continue to work social media
- Website has been changed to make scrolling easier
- Fundraising Report
- Dusty suggested that we need to send personal “thank you notes” to folks who donate from the website.
- Sarah offered to make posters for the Jewelry Studio
- Lathe fundraiser continues, needs to reach approx $3,600
- New Business
- XC received a letter from someone representing “Paramount Global Companies, CBS Broadcasting” claiming that someone from within XC downloaded copyrighted material in violation of the Copyright Act. Motion by Bob, 2nd by Don to request that Jeremy contact our ISP (Simply Bits) to have them block “Torrents” from our wifi traffic. After discussion, 6 yeah, 1 nay vote.
- Meeting intermission at 2:58 pm to go into Executive Session. Called back to order at 3:15pm.
